Privacy Statement La Tuniña
This is an English translation of official privacy statement of La Tuniña, the Spanish student music association at TU/e, located at De Lampendriessen 31, post box number 09, 5612AH Eindhoven, registered in the trade register of the Chamber of Commerce under number 40238365, hereinafter referred to as: La Tuniña. This is an unofficial translation provided for informational purposes only. In the event of any discrepancy, the original Dutch version shall prevail.
Whether you consciously or unconsciously share personal data with us, we believe it’s important that your personal data is handled with care. Therefore, in this statement, we’ve explained how we handle your personal data and what rights you have. La Tuniña complies with all applicable laws and regulations, including the General Data Protection Regulation (GDPR). This means that we will, at a minimum:
Process your personal data in accordance with the purpose for which it was provided, these purposes and types of personal data are described in this document;
Processing of your personal data is limited to only those data that are minimally necessary for the purposes for which they are processed;
Ask for your explicit consent if we need it for the processing of your personal data;
Have taken appropriate technical and organizational measures to ensure the security of your personal data;
Do not pass on personal data to other parties unless this is necessary for the implementation of the purposes for which they were provided;
To be aware of your rights regarding your personal data, to point these out to you and to respect them.

La Tuniña processes the following personal data of (former/aspiring/current) members
Personal name
La Tuniña processes your personal name to know which person she is speaking to.
Date of birth
La Tuniña processes your date of birth to determine when to award you an age badge. Age badges received from the association (sunflower, dinosaur, fossil). La Tuniña processes your age pins received from the association to distribute the pins correctly: each Tuniña receives one pin for her 40th (sunflower), 50th (dinosaur) and 60th (fossil) birthday.
Phone number
La Tuniña processes your phone number to reach you or maintain contact with you. This communication method is the second most frequently used; email is the primary means of communication between member and association.
Email address
La Tuniña processes your email address to reach you and keep in touch. Your email address is used to keep you informed of club news, performances, and important announcements from the board. You can indicate your preferences regarding receiving emails via the member portal or via the board.
Full address
La Tuniña processes your address to send you mail, cards (such as Christmas or birth announcements), or other La Tuniña-related items.
Mote (Tuniña name)
La Tuniña processes your Tuniña name to know which person she is speaking to in the capacity of ‘Tuniña life’.
Instruments
La Tuniña processes information about the musical instruments you play within the association in order to organise rehearsals and performances efficiently. This allows La Tuniña to contact you when a specific instrument is required for an activity or event.
Becada
La Tuniña processes the date on which you became a full member and received your beca in order to maintain historical records of the association and to preserve institutional memory.
Generation
La Tuniña processes your generation number (the group of members who became full members together) in order to maintain historical continuity and document the internal history of La Tuniña.
Madrina
La Tuniña processes the name of your madrina (Tuniña godmother) in order to maintain internal family trees and preserve association traditions and mentorship structures.
Age pin status
La Tuniña processes information about your age pin status to track eligibility and distribution of association pins and to ensure correct awarding of age badges.
Other personal data
We only use other personal data if the association (whether or not represented by the board) needs it to perform its tasks, whether or not this arises from an arrangement between you and the association.
Processing of personal data
La Tuniña stores and processes the following types of member data:

Full address
Starting from September 2026, all information will be stored in the La Tuniña member portal. Members will be able to access and update their own information.
Personal data known to La Tuniña prior to 2022, will have be migrated to the member portal. The following fields – Personal name, Mote, Date of Birth, Email address(es) will additionally be stored as Google Contacts within the tunina.nl Google Workspace environment for the purpose of internal communication, administration, and birthday acknowledgements. Access to Google Contacts is limited to authorized @tunina.nl account holders performing association-related tasks.
Certain data classified as “Accessible to all members” may be visible to other logged-in members on the member portal and may alos appear in association communication tools such as WhatsApp groups, Signal groups, Google Calendar invitations, Google Drive sharing logs. Members may modify visibility preferences for “Adjustable access” fields through the member portal.
The board and designated web administrators (members of the web committee appointed by the ALV) have administrative to the member portal. Web administrator access is limited to technical maintenance, implementing board-approved tasks.
Photos and Media
Photos and videos may be taken during La Tuniña activities for the purpose of documenting and promoting association activities. These may be published on La Tuniña’s website, social media channels, and other public communication platforms.
La Tuniña relies on its legitimate interest in promoting and documenting its activities as the legal basis for processing and publishing such media.
If you object to being photographed or to the publication of images in which you are clearly identifiable, you must inform the board or the activity organizers. Upon request, reasonable efforts will be made to avoid publication or to remove the material where possible.
Providing personal data to third parties
Without your consent, La Tuniña will only provide your personal data to third parties if this is necessary for the execution of the agreement La Tuniña has with you, unless La Tuniña is legally obligated to provide your personal data to these third parties. Situations in which La Tuniña provides your personal data to third parties include emergencies (for example, if medical assistance is needed) and the situations described under “Processing of Personal Data” (Google Drive).
Access, correction and deletion of personal data
Members may adjust communication preferences (including opting out of email communications) via their profile settings on the member portal.
If a member wishes to delete their profile entirely, they may contact the board. Upon deletion:
Personal identifying data (Personal name, Date of birth, Phone number, Email address(es), Full address, and profile picture if applicable) will be removed.
Historical association data (such as Mote, Instruments, Madrina, Generation, and Becada) may be retained in anonymised form for the purpose of maintaining the historical continuity of La Tuniña.
Anonymised records will no longer be linked to identifiable personal data.
A former member may request reinstatement of their profile, subject to data availability and technical feasibility.
Confidentiality of Member Information
Personal data shared within La Tuniña — including but not limited to email addresses, phone numbers, home addresses, dates of birth, and other contact details — is intended exclusively for internal association purposes.
This applies to all association platforms and communication channels, including but not limited to the member portal, shared drives, email communications, WhatsApp groups, and other official or informal association groups.
Members are not permitted to share, distribute, publish, or otherwise disclose another member’s personal data to individuals or organisations outside La Tuniña without the explicit prior consent of the person concerned.
The handling of personal data by members must be consistent with the principles of the General Data Protection Regulation (GDPR). Misuse of personal data may result in appropriate internal measures.
Security of personal data
La Tuniña takes appropriate measures to protect your personal data against loss, unauthorized access, publication, and unlawful processing. We ensure that only necessary individuals have access to your data, that access to your personal data is protected, and that our security measures are regularly reviewed.
Minors
If you wish to register as a minor, you must obtain explicit permission from your parent or guardian.
Links to other websites
The website may contain links to other websites. This Privacy Statement applies only to La Tuniña’s websites. Other websites may have their own privacy policies. La Tuniña recommends that you always consult the privacy statements of those websites before using them.
Changes to the privacy policy
La Tuniña periodically updates its privacy policy to keep it up-to-date. The most recent version of our Privacy Statement will always be available on the website. La Tuniña therefore recommends that you consult the Privacy Statement regularly. La Tuniña will make every effort to inform you of any significant changes by email and through its websites.

Processing personal data of (prospective) members who no longer wish to have a connection with La Tuniña
All your information will be deleted from the address and mailing lists if you decide to leave the association permanently. Before leaving the association permanently, the above procedures apply.
Processing personal data of applicants and other external contacts
If you have ever contacted La Tuniña as a customer or other external party (e.g., a fellow student association), your name, email address, and any other information you provided will remain in La Tuniña’s inbox. This allows you to easily retrieve information from previous requests or orders. If you no longer wish your contact information to remain in La Tuniña’s inbox, please contact bestuur@tunina.nl and indicate which information you no longer wish to share with La Tuniña.
Complaint about the processing of your Personal Data
We are also happy to assist you if you have a complaint about the processing of your personal data. If you have a complaint, you can inform the board via the contact person mentioned above. Under the GDPR, you also have the right to file a complaint with the Dutch Data Protection Authority about our processing of your personal data. You can contact the Dutch Data Protection Authority for this purpose.
